I use Monday.com boards as a workflow for my business but it was initially set up without being correctly planned. Now it is difficult to manage things as there are so many different boards. We specialise in assisting clients who have disputes with vehicles. For example if they purchase a faulty car and the vendor refuses to assist. We will help the client get the vehicle repaired or rejected etc and regularly communicate with clients, vendors, finance companies etc. A smooth platform to deal with enquiries and the required communications is essential. At present the system works OK but it needs to be much better. I need the following done: A consultation with an expert conversant with Monday.com to explain exactly what I require All of the existing boards to be merged into a new master board so everything is accessible in one place Notifications to be set up correctly MS Exchange (or similar email software) to be incorporated within Monday.com platform Whatsapp business to be incorporated within Monday.com platform Standard template letters and documents to be set up so they can be easily accessed A range of automated tasks to be set up when statuses change Initial enquiries to be given a reference number and once assigned to a case handler be given a new reference number All communications to be viewable in one area (emails & text messages etc) and a call log to record when calls are made A simplified view so key data can be seen on one front page of each case Automatic reminders to flag up when actions are required and a separate page to view reminders daily/weekly AI to be incorporated into system for writing communications (if possible) Enquiries to be ranked/scored on certain criteria Automatic responses to be sent on a delayed basis depending on enquiry score Users permissions set up correctly When statuses change enquiries to be moved to a separate board Invoices to be created and sent automatically upon case completion Automatic review requests to be sent on case completion Documents to automatically be downloaded if attached to incoming emails Automatic reminders to be sent when required (when information has been requested but not received) Emails received to be sorted and allocated to correct case file based on different reference numbers (e.g. our reference number or 3rd party reference number) Address field on map for incoming enquiries UK addresses only Enquiry forms to be standardised E-Sign facility to be added for documents sent that require signing Separate form to be sent to clients for additional information required that can be automatically added to existing case file Filing system for case files to be set up and accessible within Monday.com Any other suggestions that you would envisage would benefit our operation based on your experience will be advantageous. We are a Leak Detection and drying company that undertakes works for clients by first attending a property and providing a report then with subsequent costs. We currently pay for a CRM that we only use c.10% of, the pricing tool element so looking to replace this with an excel sheet. We have four price lists that we use for different types of clients so in effect would be four sheets built the same but with different line item costs. We have the template of costs and are looking to produce an excel tool that our team of estimators can use/input relevant line items then a cost/ estimate is produced at the bottom. We have different types of costs ranging from equipment charged out per day, labour, materials and sub contractors with % uplifts to be applied. An example of a line item would be a solution applied to a square meterage of floor, we would need the line item to be able to work out the cost with a pre determined figure with an input being the size needed (or the most efficient way of attaining the right figure for the volume needed). We would need an area that accounts for the rooms we are working in and sizes so it automatically prices depending on the item. Another example would be different costs of labour time, depending on seniority. We would then look to take the estimate and pop it into another document that would be provided to the client. This would be word that would be converted to PDF. As a bare minimum we are looking for the pricing tool on excel. However if you are able to produce a report template we could use also that we can input this data sheet in to, and use for adding pictures and writing for our report too, then that is something we are thinking about also. I have attached an example price list and an example Estimate and report which is our current document that we are looking to replace (where the costing sheet would be copied in to) but it maybe that an excel sheet can do 90% of it excluding maybe the written report bit. I also have a pricing template a sister company uses that is similar to what we want but can share this with relevant responders.
